/CareDesk/
A burnt-out front desk team, 300+ monthly patient calls, and a scheduling system held together by manual effort — fixed with one automation layer.
A mid-sized clinic was burning 60–70% of staff time on the same calls every day. Booking, rescheduling, insurance questions, reminders — all manual, all repetitive, all slowing down real care. I developed an LLM-powered assistant on n8n that took over the full patient communication cycle, end to end, with HIPAA-compliant design from day one.
/Project Goals/
Cut routine call volume, free up staff hours, and deliver instant patient responses 24/7 without losing the human feel.
The clinic needed automation that felt warm, not robotic. Patients had to be able to book, reschedule, and ask questions in plain language across SMS and email — and get accurate, clinic-specific answers every time. The system also had to meet strict healthcare compliance requirements with no PHI exposed anywhere in the workflow logs.
/Results/
70% drop in routine call volume. 25+ staff hours freed every week. 300+ patient interactions handled monthly without a single human touch.
Phone call volume for routine tasks dropped 70% in the first month. Appointment booking went from 10-minute calls to 2-minute automated conversations. Staff recovered 25+ hours weekly and redirected that time to in-person care. Zero missed appointments since the reminder system went live. The assistant now runs 300+ patient interactions monthly, fully autonomous, with instant responses at any hour.
